Frequently Asked Questions

Everything you need to know about working with SyncWave Technologies — our services, process, pricing approach, and how we deliver outcomes for clients across East Africa.

01

What industries does SyncWave Technologies serve?

We serve five primary sectors: SACCOs & cooperative societies, fintech and banking, healthcare and hospital systems, enterprise IT organisations, and government & public sector bodies. Our work spans Kenya and the broader East Africa region, with clients ranging from community SACCOs to national government agencies and multinational enterprises.

02

Where is SyncWave based and do you work with clients outside Nairobi?

Our headquarters are in Nairobi, Kenya (Mombasa Road, Syokimau Estate). We work with clients across Kenya and East Africa — including Mombasa, Kisumu, Eldoret, Uganda, Tanzania, and Rwanda. Most engagements combine on-site work with remote delivery, so physical location is rarely a barrier.

03

How does SyncWave handle data security and compliance?

Security is a first-principle at SyncWave, not an afterthought. We apply zero-trust architecture, AES-256 encryption at rest, TLS 1.2+ in transit, MFA, and role-based access control on every engagement. We align with ISO 27001, the Kenya Data Protection Act 2019 (ODPC), SASRA, and CBK guidelines depending on the client’s sector. For sensitive engagements, we hold client data under enforceable NDAs and data processing agreements.

04

What is the typical engagement process when we hire SyncWave?

Our standard engagement follows five stages: (1) Discovery Call — we understand your challenge and goals; (2) Proposal & SOW — we issue a detailed Statement of Work with scope, timeline, and pricing; (3) Kickoff & Architecture — we align on technical design and project plan; (4) Delivery — agile sprints with weekly progress updates; (5) Handover & Support — system handover, documentation, training, and optional managed services.

05

Do you offer managed services after a project is delivered?

Yes. We offer tiered managed service agreements (MSAs) covering infrastructure monitoring, security operations, patching, performance optimisation, and helpdesk support. SLA tiers range from Business (P3/P4 response) to Enterprise (P1: 1-hour response, 24/7 on-call). Managed services are scoped separately from project delivery and priced on a monthly retainer basis.

06

What cloud platforms do you work with?

We are multi-cloud by design — working across Amazon Web Services (AWS), Microsoft Azure, and Google Cloud Platform (GCP). We also support hybrid deployments and bare-metal/on-premise infrastructure where regulatory or connectivity constraints require it. Our preferred Infrastructure-as-Code tooling includes Terraform and Ansible.

07

Can SyncWave integrate with our existing core banking or ERP system?

Yes — integration is one of our core competencies. We have experience connecting systems via REST APIs, SOAP web services, message queues (RabbitMQ, Kafka), and direct database connectors. We have delivered integrations with common platforms in the Kenyan market, including various SACCO core banking systems, M-Pesa Daraja API, Safaricom Bulk SMS API, and hospital information systems. Every integration is documented, version-controlled, and covered by a defined SLA.

08

What is your Bulk SMS SaaS platform and how does it work?

SyncWave Bulk SMS is a multi-tenant SaaS platform purpose-built for African telco networks. It enables organisations to send mass SMS campaigns, transactional messages, and OTP notifications at scale. Key features include campaign scheduling and management, real-time delivery analytics, sender ID management, contact list segmentation, and a developer API for programmatic integration. Billing supports both prepaid credit and postpaid invoicing. Contact us for a demo or sandbox API keys.

09

Do you offer AI solutions for smaller organisations?

Absolutely. Our AI practice is designed to be accessible at different budget levels. For smaller organisations, we offer targeted engagements such as AI-powered chatbots for customer service, document processing automation using LLMs, and basic predictive analytics dashboards — all deployable within weeks. Larger enterprises can engage us for full agentic AI workflows, RAG (retrieval-augmented generation) platforms, and custom model fine-tuning.

10

How long does a typical software development project take?

Timelines vary by scope. A focused integration or automation module typically takes 4–8 weeks. A custom web or mobile application runs 8–16 weeks from kickoff to production. Enterprise-scale platform projects (full HMS, core banking overhaul, cloud migrations) are planned in phases over 3–12 months. Every SOW includes a detailed timeline with milestones, and we use agile delivery so you receive working software at the end of each sprint — not just at the end of the project.

11

What is your pricing model?

We operate on three pricing models depending on engagement type: (1) Fixed-Price SOW — for well-defined projects with clear deliverables; (2) Time & Materials — for exploratory or evolving engagements billed at agreed daily/monthly rates; (3) Retainer / Managed Services — for ongoing support and operations. All engagements are invoiced in Kenyan Shillings (KES) with 14-day payment terms. VAT is applied in accordance with Kenya Revenue Authority guidelines. 12

Do you have experience with Kenya’s regulatory requirements?

Yes — this is one of our key differentiators. We design solutions with Kenya-specific compliance built in from the start, including: CBK regulations for financial institutions, SASRA requirements for SACCOs, Kenya Data Protection Act 2019 and ODPC guidelines for data controllers and processors, Communications Authority requirements for telecoms, and Ministry of Health frameworks for health data. We also keep our teams current on any new guidelines that affect our clients’ sectors.

13

Is my data safe if I use your cloud or SaaS services?

Yes. All data hosted on SyncWave-managed infrastructure is protected by AES-256 encryption at rest, TLS 1.2+ in transit, automated daily backups with tested restore procedures, network segmentation, and 24/7 infrastructure monitoring. We sign a Data Processing Agreement (DPA) with every client that processes personal data, defining our obligations as a data processor under the Kenya Data Protection Act 2019. We can also accommodate on-premise or private cloud deployments for clients with strict data residency requirements.

14

Do you provide training for systems you build?

Yes — every project handover includes user training and technical documentation as standard deliverables. For larger deployments we offer structured training programmes covering end-user training, administrator training, and train-the-trainer sessions. Training is delivered on-site in Nairobi or remotely via video conference. We also provide user manuals, video walkthroughs, and a knowledge base tailored to your organisation’s workflows.

15
